Executive Assistant to CEO and Executive Team, Manufacturing Company, Southlake, Texas
A well-established manufacturing company with an executive office in Southlake is seeking an exceptional Executive Assistant to support the CEO and Executive Team as a trusted partner and operational anchor.
This role extends well beyond traditional executive support. The Executive Assistant will function as a force multiplier for the CEO and senior leadership team, helping drive alignment, optimize executive effectiveness, and ensure seamless execution across a wide range of business priorities.
This is an in-office position, 5 days a week in their office in Southlake.
About the Job:
- Act as a primary “right hand “to the CEO managing a complex calendar with shifting priorities and ensuring focus on critical business objectives
- Own calendar management for the rest of the executive team particularly as it relates to internal executive meetings, scheduling client meetings
- Act as the liaison to the board of directors and help plan the meetings, agenda and collateral materials; follow-up on action items(quarterly)
- Coordinate domestic and international travel arrangements including detailed itineraries
- Drive special projects and cross-functional initiatives, tracking timelines, deliverables, and accountability across departments
- Plan executive meetings, dinners, events and client engagements
- Oversee expense reporting for the executive team
- Partner closely with executives on day-to-day business needs, helping maintain organization, responsiveness, and operational efficiency
- Leverage AI tools and modern productivity technologies to improve workflow efficiency,
- Be the “go to” in the office for administrative needs, supplies, coordinate tech support
- Handle some personal work for the CEO; run errands

About You:
- 5+ years of experience supporting C-Suite executives in a fast-paced environment
- Proven experience supporting multiple senior leaders with professionalism, discretion, and sound judgment
- Exceptional organizational skills, prioritization ability, and proactive problem-solving capability
- High emotional intelligence with the ability to anticipate needs and respond effectively with minimal direction
- Outstanding written and verbal communication skills with the ability to represent executives professionally at all levels
- Excellent Microsoft Office Suite skills; comfortable using AI-enabled productivity tools
- Experience planning meetings and events; strong project management skills; highly organized and detail-oriented
- A calm, polished, service-oriented presence with the flexibility to adapt to changing priorities
