Job Overview
We are looking for a friendly, organized, and dependable Front Desk Receptionist to join our growing team. As the first point of contact for visitors, employees, vendors, and clients, you will play an essential role in creating a welcoming and professional environment while ensuring our daily office operations run smoothly.

Responsibilities
Front Desk & Office Administration
- Greet and assist visitors, employees, vendors, and clients in a professional and friendly manner.
- Answer and direct incoming phone calls with excellent phone etiquette.
- Take accurate messages and ensure timely follow-up.
- Respond to general inquiries and provide exceptional customer service.
- Maintain a clean, organized, and professional reception area.
- Monitor office supply inventory and coordinate reordering as needed.
- Perform general administrative duties including filing, scanning, copying, and data entry.
Employee & Payroll Support
- Print, organize, and file employee and subcontractor timesheets and related documents.
- Scan and save employee timesheets to the company drive.
- Enter employee time into HH2 and resolve discrepancies.
- Follow up with employees regarding missing or incomplete timesheets.
- Submit timesheets to supervisors for approval.
Bookkeeping & Accounting Support
- Prepare checks for mailing and distribution.
- Assist with basic bookkeeping, document management, and recordkeeping.
Hotel Reservations & Project Support
- Coordinate hotel accommodations for employees traveling to job sites.
- Manage reservation changes, cancellations, and extensions with Project Managers and Supervisors.
- Prepare project drawdown folders and labels using a Dymo label maker for Project Managers.
Shipping & Logistics
- Create UPS shipping labels for outgoing packages.
- Track shipments and assist with delivery inquiries.
- Coordinate incoming and outgoing mail and deliveries.
Additional Duties
- Assist with scheduling appointments and calendars as needed.
- Support office operations and complete other administrative duties as assigned.
Qualifications
Required
- Bilingual in English and Spanish.
- High school diploma or equivalent.
- Minimum 1-2 years of receptionist, administrative assistant, or front desk experience.
- Excellent customer service and interpersonal skills.
- Strong verbal and written communication skills.
- Professional appearance and positive attitude.
- Ability to multitask and prioritize in a fast-paced office environment.
- Strong organizational skills and attention to detail.
Preferred
- Experience with Microsoft Office (Word, Excel, Outlook).
- Experience using Google Workspace (Gmail, Docs, Sheets, Drive).
- Experience with multi-line phone systems.
- Basic bookkeeping or payroll support experience.
