FT Resident Services Receptionist/Package Concierge

Long-term disability, 403(b), retirement plan

Possible Schedule: 8:30am - 5:00pm M-F, one weekend per month

This role handles all switchboard activities, including greeting and logging visitors, taking and reporting all messages, keeping resident and business information current, and assisting residents with questions or directing them to the appropriate person. The primary responsibility also includes coordinating inbound and outbound package activities (receiving, logging, delivering all inbound and outbound packages) with limited supervision.

This team member will interact with Southminster residents and team members, demonstrating exceptional customer service skills and ensuring every resident, team member, family member, or visitor is greeted with excellence. The role requires the physical ability to move 50 pounds unassisted and the stamina to walk/stand throughout the shift.

Duties / Responsibilities

  • Coordinating all receiving and shipping services.
  • Answering and transferring all external and internal calls.
  • Greeting and assisting visitors.
  • Assisting residents, directing them to proper departments, collecting monthly resident fees, accepting and delivering messages (e.g., flowers, medicine, UPS), providing advice about overnight accommodations, restaurants, and points of interest.
  • Accepting and distributing business deliveries, notifying individuals as necessary.
  • Maintaining a log of all incoming parcels, preparing and sorting parcels for pickup by business departments, and delivering them to all Southminster residents.
  • Providing a high level of customer service, including problem solving if a package has been misdelivered or is missing.
  • Informing backup/weekend receptionists of any unusual circumstances.
  • Keeping resident information material updated and maintaining resident confidentiality.
  • Maintaining and distributing resident out‑of‑town forms and family member out‑of‑town forms, notifying proper departments as needed.
  • Monitoring records for those residents who are in hospital or temporarily in the health center.
  • Keeping business information updated.
  • Continuously monitoring guest apartments to ensure they are cleaned and ready for check‑in or check‑out.
  • Calling maintenance orders on radio and writing maintenance requisitions.
  • Taking emergency maintenance and housekeeping calls after 4 p.m. Monday‑Friday and on weekends, completing maintenance requests during these times.
  • Being alert to any policy or management changes to better perform job responsibilities.
  • Receiving, date‑stamping, and distributing all incoming invoices to appropriate individuals for approval and payment. Assigning account codes for administrative invoices.
  • Functioning in a fast‑paced environment with minimal supervision.
  • Following the instructions of the supervisor and assisting other Resident Services team members with related duties as necessary.

Qualifications

Education required: High School Diploma or GED preferred.

Experience required: Experience with answering and transferring calls, 5‑10 years of reception or customer service experience preferred.

Professional license or certification requirements: N/A

Specific skills, knowledge, and abilities required: Reliable, pleasant speaking voice, people personality, professional appearance. Must handle routine and unexpected situations, deal effectively with seniors, perform in a fast‑paced setting, handle various tasks simultaneously. Must meet the physical demands of the position.

Commit to one weekend per month, plus availability to cover nights/days that arise to cover time off.
