Duties
- Serve as the first point of contact at the front desk, greeting visitors and directing them appropriately
- Manage multi-line phone systems, answer inquiries, and route calls efficiently with professional phone etiquette
- Perform data entry and maintain accurate records using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and financial tracking
- Handle filing, document proofreading, and organize office supplies to ensure a tidy and functional workspace
- Assist with calendar management, scheduling appointments, meetings, and coordinating personal assistant tasks as needed
- Support office management activities including organizing files, preparing reports, and managing correspondence
- Provide exceptional customer support by addressing inquiries promptly and professionally
Qualifications
- Proven office experience with strong clerical and administrative skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications
- Experience with QuickBooks or similar bookkeeping software is highly desirable
- Excellent organizational skills with the ability to prioritize tasks effectively
- Strong typing skills coupled with attention to detail for proofreading and data entry tasks
- Bilingual abilities are a plus to assist diverse client needs
- Demonstrated ability to handle multi-line phone systems and maintain professional phone etiquette
- Familiarity with office management procedures, filing systems, and calendar management tools
- Exceptional time management skills with the capacity to juggle multiple responsibilities efficiently
