Purpose

The Public Works Dispatchers ensure efficient operations of the Fleet Services Dispatch Office by supporting and coordinating administrative and communication functions.

The department may fill positions at the Public Works Dispatcher 1 or 2 level, based upon candidate qualifications. Candidates will be placed on the highest-level list for which they qualify.

Essential Functions

Dispatch and Scheduling

Communicate via radio, phone, in-person, and email to ensure efficient support of field and fleet operations.

Schedule fleet equipment, operators, and support personnel in Telestaff.

Dispatch assignments and record information using Samsara, ensuring accurate tracking of field service technicians, utility crews, and fueling trucks.

Confirm next-day assignments with drivers, operators, and other Fleet/Sanitation division employees.

Communicate assignments to private sector entities performing work on the City’s behalf.

Dispatch and document the activities of the division’s Roll-Off operation; prepare the daily Roll-Off box location/assignments using a SharePoint file and distribute to employees and managers.

Data Recording and Tracking

Accurately record work assignment information while observing management scheduling guidelines.

Maintain and update vehicle locations in AssetWorks and Samsara.

Update and record the status of daily dispatch operations and fleet-related programs.

Record and maintain fuel and fleet supplies information in TMS Com.

Maintain information pertaining to service agreements, rental equipment, and vendors.

Receive and process complaints; forward complaints to departments for further action and follow-up.

Prepare and document Department of Public Works (DPW) accident-related records in AssetWorks.

Administrative Support

Answer calls from DPW locations and provide requested fleet support and service information.

Address assignment inquiries from drivers, operators, and field employees.

Activate fuel cards and create replacement cards.

Prepare and distribute the daily after-hours, on-call contact list.

Prepare employee disciplinary documents and maintain a distribution list to verify when issued.

Prepare and process Commercial Driver's License (CDL) testing applications, collect fees, and maintain testing schedule.

Assist with new hire orientation and process I-9 paperwork.

Process and communicate time-off requests for vacation, sick leave, bereavement leave, and the Family and Medical Leave Act (FMLA).

Inform driver instructors of fleet accidents and contact the Milwaukee Police Department (MPD) Non-Emergency division.

Participate as a member of the Dispatch office staff and assist other city departments during extended hours, holidays, and weekend operations.

Snow and Ice Control

Maintain employee availability information for drivers and operators from supporting departments for snow operations.

Participate as a member of the general ice control and snow plow team, which operates 24 hours a day during snow operations.

Participate as a member of the team that contacts snow drivers at the start of snow operations and throughout the operation; record information in the Snow Database.

Conditions of Employment

The Public Works Dispatchers 1 and 2 must be willing and able to:

Work variable and extended hours to meet the City’s needs during weather-related events and other emergencies that may include evenings, weekends, and holidays.

Withstand prolonged exposure to variable and extreme weather conditions, including rain, wind, excessive heat, intense cold, and snow.

Be available 24 hours per day/365 days per year in the event of an emergency operation including DPW snow and ice control operations.
