About the Role

Versa Networks is seeking a highly organized and resourceful Office Manager to keep our office running smoothly and to provide direct support to our C-suite leadership. This is a hybrid role that blends hands-on office management and business operations with high-touch executive support. You'll be the person who keeps the day-to-day humming — from coordinating executive calendars and travel to making sure conference rooms are clean, supplies are stocked, and lunches are organized — while also taking on operational projects that improve how the office runs. The ideal candidate is equally comfortable scheduling a board meeting and restocking the kitchen, and takes pride in creating a polished, well-run workplace.

What You’ll Do

Office Management & Operations

Own the day-to-day operations of the office, ensuring a clean, organized, and welcoming environment for employees and visitors

Manage relationships with building management, vendors, and service providers (cleaning, maintenance, security, IT support, etc.)

Order and maintain inventory of office supplies, snacks, and kitchen essentials

Organize daily or weekly team lunches, catering for meetings, and special events or off-sites

Ensure conference rooms and shared spaces are consistently clean, tidy, and meeting-ready, including AV equipment checks

Manage office seating, badge access, mail & courier services, shipping and deliveries

Support light business operations projects — vendor contract tracking, budget tracking for office spend, process documentation, and ad hoc initiatives as needed

Executive Support

Provide direct administrative support to members of the C-suite, including complex calendar management and scheduling across time zones

Support executive team with coordinating domestic and international travel arrangements, itineraries, and expense management if needed

Assist the executive team in planning and coordinating customer and board-level meetings

Handle confidential information with the highest level of judgment and integrity

Business Operations & Workplace Experience

Partner with the People Operations team to support office initiatives, employee engagement activities, team celebrations, holiday parties and all-hands meetings.

Assist with onboarding new employees by preparing workspaces, coordinating equipment, and ensuring a smooth first-day experience.

Support procurement activities and vendor management if required.

Track and manage office-related budgets and invoices.

Coordinate logistics for visiting guests, candidates, and external partners

Coordinate weekly team lunches and office catering.

Foster a welcoming office environment for employees, customers, partners, and visitors.

Continuously identify opportunities to improve workplace efficiency and employee experience.

What You’ll Bring

Required Qualifications

5-7 years of experience in office management, executive assistance, or a combination of both

Demonstrated experience supporting senior executives (C-suite or VP-level) with calendar, travel, and meeting management

Strong organizational skills with the ability to juggle multiple priorities in a fast-paced environment

Hands-on, no-task-too-small mentality — equally willing to plan an offsite or tidy a conference room

Excellent written and verbal communication skills

Able to work independently & as part of a team

High degree of discretion and sound judgment when handling confidential or sensitive information

Proficiency with common productivity and collaboration tools (Google Workspace or Microsoft 365, Slack, Zoom)
