Position Overview

We are looking for a reliable, detail-oriented Bookkeeper / Office Administrator to serve as the financial and operational backbone of our office. In this dual-role position, you will manage day-to-day bookkeeping functions while ensuring our office runs smoothly and our clients and visitors experience a warm, professional first impression. You will work closely with the CEO and leadership team, making this a highly visible and impactful role.

Key Responsibilities

Bookkeeping & Accounts

  • Manage partial-cycle bookkeeping, including accounts receivable (AR), accounts payable (AP), bank

and credit card reconciliations, and the month-end close process.

  • Verify and reconcile subscription information for monthly client invoicing; enter invoices, payments,

and subscription updates into our PSA and QuickBooks Online (QBO).

  • Monitor past-due invoices and follow up with clients for payment processing approvals.
  • Enter, process, and reconcile vendor bills and statements; flag discrepancies and process payments

in QBO.

  • Administer the ConnectBooster payment portal and reconcile credit card accounts monthly.
  • Manage month-end prepaids and fixed asset schedules.
  • Maintain organized digital records of invoices, bills, receipts, and financial reports using our

DocuWare document management system.

  • Run weekly and monthly Autotask billing and financial reports for leadership review.
  • Bill equipment and software charges to clients accurately and on time.

Office Administration & Reception

  • Serve as the first point of contact for all incoming calls and visitors—answering phones, taking

messages, and greeting guests with professionalism and warmth.

  • Receive, sort, and send mail and custom packages; manage courier and shipping logistics.
  • Order and maintain office and kitchen supplies; liaise with vendors and service providers (including

the office housekeeper) to keep the workspace organized and well-stocked.

  • Develop and maintain strong vendor relationships; coordinate with ISPs, voice service providers, and

third-party partners as directed by the CEO.

Executive & Team Support

  • Provide direct administrative support to the CEO and President, including scheduling, calendar

management, and travel arrangements for management and technical staff.

  • Assist with onboarding of new hires and coordinate administrative aspects of the process.
  • Keep our CRM and ticketing system (Autotask) up to date with accurate client contact information,

assets, and notes.

  • Support the Help Desk Coordinator with client communication and ticket management as needed.
  • Assist with special projects for the CEO, including client budgets, reporting, and vendor negotiations.
  • Handle general administrative tasks—preparing letters, simple reports, and organizing files.

Salary Range for this role is between $55,000 - $60,000 annually.

Qualifications & Skills

Required

  • 2+ years of bookkeeping, accounting, or office administration experience.
  • Proficiency in QuickBooks Online (QBO) for AR, AP, reconciliations, and reporting.
  • Strong working knowledge of Microsoft 365 (Outlook, Word, Excel, Teams).
  • Excellent verbal and written communication skills with a professional, friendly phone presence.
  • Highly organized, detail-oriented, and able to manage competing priorities in a fast-paced

environment.

  • Demonstrated ability to work independently and as a collaborative team member.
  • High School diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting,

Business, or related field preferred.

Preferred

  • Experience in an MSP, IT services, or technology company environment.
  • Familiarity with Autotask PSA or similar ticketing/PSA platforms.
  • Experience with ConnectBooster, DocuWare, or similar business tools.
  • Prior experience supporting C-suite executives.
