Job Summary

The Receptionist serves as the first point of contact for visitors, clients, and callers. This role is responsible for managing front office operations, handling incoming communications, and providing administrative support to ensure efficient day-to-day office functioning.

Essential Job Responsibilities

Greet and assist visitors in a professional and courteous manner

Answer, screen, and direct incoming phone calls

Manage incoming and outgoing mail and deliveries

Schedule appointments and maintain calendars

Maintain a clean, organized, and welcoming reception area

Provide general administrative support (data entry, filing, document preparation)

Monitor and order office supplies as needed

Coordinate meeting room scheduling and setup

Assist with internal communications and basic clerical tasks

Maintain confidentiality of sensitive information

Assist in organization and setup of office events

Additional People Operations Responsibilities:

Assist in calendar scheduling meeting set-up for leaders guests

Responsible for preparing conference room for meetings

Setting up meeting minutes, taking notes sending recap action items/meeting notes to meeting attendees

Assisting with Onboarding new hire orientation

Minimum Qualifications

Required:

High school diploma or equivalent

Proficiency in Microsoft Office, with good knowledge and skillset in PowerPoint and Excel

Strong verbal and written communication skills

Professional demeanor and customer-service orientation

Strong organizational skills and attention to detail

Ability to multitask and manage time effectively

Preferred:

1–2 years of receptionist or administrative experience preferred

Bilingual in English and Spanish

Work Environment:

Indoor office setting with controlled temperature

Ability to sit or stand for extended periods, lift up to 25 lbs. occasionally, and move between lobby and adjacent offices
