We are seeking an energetic and professional Front Desk Receptionist to be the welcoming face of our organization. Responsibilities
- Greet visitors warmly, determine their needs, and direct them appropriately while maintaining a professional and friendly demeanor
- Manage multi-line phone systems, answer inquiries promptly, and route calls efficiently using proper phone etiquette
- Handle incoming and outgoing correspondence, including emails, mail, and packages with accuracy and confidentiality
- Maintain organized filing systems, perform data entry tasks, and update records using Microsoft Office, Google Workspace, and other office software
- Schedule appointments, manage calendars, and coordinate meetings or events to ensure smooth daily operations
- Support office management by assisting with clerical tasks such as proofreading documents, managing supplies, and supporting bookkeeping activities using QuickBooks or similar tools
- Provide exceptional customer support by addressing inquiries promptly and professionally while ensuring a positive experience for all visitors and clients
Requirements
- Proven office experience or clerical background with strong organizational skills
- Proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace (Docs, Sheets), and data entry skills
- Experience with multi-line phone systems and excellent phone etiquette
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong typing skills with attention to detail for proofreading and document accuracy
- Knowledge of office management procedures including filing systems, calendar management, and time management techniques
- Previous experience in medical or dental receptionist roles is a plus but not required
- Personal assistant or administrative support experience will be considered advantageous
- Ability to handle confidential information discreetly while maintaining professionalism at all times
