Role Overview

We are looking for a hands-on Bookkeeper/Staff Accountant to own day-to-day and month-end financial operations across all 25 locations. This role requires both the transactional discipline of a bookkeeper and the analytical mindset of a staff accountant. You will work closely with ownership and our internal team to keep the books clean, reporting accurate, and compliance on track.

Key Responsibilities

Bookkeeping & Reporting

  • Maintain accurate books in QuickBooks Desktop and QuickBooks Online across all locations
  • Coordinate with internal team to ensure all revenue and expenses are properly coded and recorded
  • Produce monthly and quarterly P&Ls by store and company-wide cash flow statements
  • Reconcile books against bank and credit card statements regularly and resolve discrepancies

Accounts Payable & Receivable

  • Manage all vendor relationships and ensure timely payment of invoices
  • Maintain accurate AP and AR records and monitor outstanding balances

Payroll

  • Manage and audit payroll processing through ADP for approximately 110 employees across 25 locations
  • Verify hours, wage rates, and withholding accuracy; serve as the internal point of contact for payroll issues

Year-End & Compliance

  • Prepare books and supporting documentation for year-end close and external CPA handoff
  • Maintain fixed asset schedules and depreciation records
  • Manage business license renewals, annual entity filings, and compliance deadlines
  • Organize and maintain digital records for tax season and audits

A Note on Administrative Responsibilities

This role carries an administrative dimension beyond traditional accounting duties. You will coordinate directly with municipalities, counties, and regulatory bodies in connection with new store installs, permitting, and compliance paperwork. The right candidate is equally comfortable managing a reconciliation and navigating a conversation with a county permitting office.

Required Qualifications

  • 2+ years of bookkeeping or accounting experience, preferably in a multi-location environment
  • Proficiency in QuickBooks Desktop and QuickBooks Online
  • Strong working knowledge of AP, AR, reconciliation, and GL management
  • Proficiency in Google Workspace (Docs, Sheets, Drive) or Microsoft Excel and Adobe Acrobat
  • Highly organized with strong attention to detail and ability to work independently

Preferred Qualifications

  • Associate's or Bachelor's degree in Accounting, Finance, or related field
  • Experience with multi-location retail, hospitality, or service businesses
  • Experience with ADP payroll administration
  • Familiarity with expense management platforms such as Ramp or similar
  • Experience coordinating with municipalities or county offices for permitting or compliance
