Executive Administrative Assistant/Operations Manager

We are looking for an energetic associate who is organized, detail-oriented and willing to learn systems and industry specific terminology. Our boutique Financial Services firm has earned a reputation for outstanding client service and a drive to create investment solutions within long-standing relationships.

This position interacts daily with clients by phone, email and in-person, assisting in a wide variety of client transactions and requests. There will also be extensive interaction with Financial Advisors and other associates. Prior experience in the Financial Services Industry is a plus but is not required.

Additionally, the successful candidate will be given the opportunity to pursue FINRA registrations including but not limited to licensing exams.

Job Requirements :

  • College graduate is preferred but we are willing to consider financial industry experience in lieu of a degree.
  • Higher education degree is a plus
  • Desire to obtain FINRA registrations
  • Well-organized and proficient at multi-tasking
  • Be able to routinely deal with time sensitive situations
  • Strong computer skills with proficiency in Microsoft Office Suite
  • Familiarity with CRM software (Salesforce)

Below is a basic description of this position :

  • Schedule and confirm meetings with Advisor's clients and prospects
  • Prepare meeting documents for client reviews
  • Prepare and review new account forms and servicing existing relationships

Respond to clients about various matters including money movements, title and address changes as well as general servicing needs:

  • New account setup and follow-up
  • Work directly with multiple custodians to resolve account issues and follow-up on account funding requests
  • Correspond regularly with other admin personnel, external sales teams and investment management team
  • Creating and distributing reports to internal team
  • Assist Marketing Director in coordinating outside vendors for firm and client events

Pay: $18/hour

Schedule:

Tuesday-Thursday, 9am - 5pm

Experience:

Customer Service: 2 years (Preferred)
