Position Summary
The Administrative Assistant serves as a key support role within the facility, providing administrative, operational, and clerical assistance to ensure the smooth day-to-day functioning of the organization. This role requires strong interpersonal skills, professionalism, and the ability to create a welcoming and supportive environment for clients, staff, and visitors.
Job Responsibilities
Administrative & Operational Support
- Provide comprehensive administrative support to the Executive Team and leadership staff
- Manage calendars, schedule meetings, and coordinate appointments
- Maintain accurate records, meeting notes, and documentation
- Assist with special projects and additional tasks as assigned
- Human Resources Support
- Assist with onboarding tasks and employee documentation
- Support HR-related record keeping and file management
- Maintain confidentiality of sensitive employee information
Census & Reporting
- Track and maintain daily census data
- Provide updates and reports to leadership as needed
- Ensure accuracy and timeliness of all census-related documentation
Communication & Front Office Management
- Serve as the first point of contact for the facility, providing welcoming and professional experience
- Answer and direct incoming phone calls appropriately
- Manage inbound and outbound mail distribution
- Assist with vendor communications and coordination
Organizational & Facility Support
- Maintain organized filing systems (digital and physical)
- Support coordination of meetings, including preparation of materials
- Assist in maintaining efficient office operations

Qualifications
- Strong interpersonal and communication skills

- High level of discretion and confidentiality
- Proficiency in Microsoft Office and basic administrative systems
Preferred Experience
- Previous administrative experience in healthcare, behavioral health, or SUD settings
- Familiarity with HIPAA and patient confidentiality standards
