Senior Accountant

The Senior Accountant supports the organization's financial operations through accounts payable, payroll processing, account reconciliations, and financial reporting. Reporting to the Director of Finance, this role works closely with project managers, operations, and leadership to ensure accurate and compliant financial processes.

Key Responsibilities

Accounts Payable

  • Process all accounts payable functions accurately and timely with management oversight.
  • Review and process vendor invoices, ensuring proper coding, approvals, and documentation.
  • Prepare and process vendor payments through check, ACH, and automated payment methods.
  • Submit ACH payment files and maintain Positive Pay banking procedures.
  • Collaborate with Project Managers and leadership to resolve invoice discrepancies and payment exceptions.
  • Respond to vendor inquiries regarding invoice and payment status.
  • Reconcile vendor statements and resolve outstanding issues.
  • Maintain organized and accurate accounts payable records.

Payroll Administration

  • Process all payroll functions with management oversight.
  • Assist with labor entry and approval processes to ensure payroll accuracy and timely processing.
  • Review payroll entries for proper hours, pay rates, per diem calculations, deductions, and benefit allocations.
  • Process in-house payroll through the company's ERP system.
  • Assist with multi-state payroll tax reporting, withholding requirements, and payroll-related liabilities.
  • Reconcile union wages, fringe benefits, deductions, and related reporting requirements.
  • Maintain payroll records and documentation in accordance with company policies and regulatory requirements.
  • Respond to employee payroll-related questions and resolve payroll discrepancies.

Expense Management

  • Review employee expense reports and company credit card transactions for compliance with company policies.
  • Process employee reimbursements in a timely manner.
  • Monitor and analyze expenses to identify trends and potential cost-saving opportunities.
  • Ensure proper documentation and approval of business expenses.

Financial Reporting & Month-End Close

  • Reconcile various balance sheet accounts and assist with monthly close procedures.
  • Prepare journal entries and supporting schedules as needed.
  • Generate financial reports and supporting analysis for management review.
  • Assist in preparing audit schedules and supporting documentation.
  • Support special accounting projects and process improvement initiatives.

Compliance & Documentation

  • Ensure compliance with Generally Accepted Accounting Principles (GAAP), company policies, and applicable regulations.
  • Maintain organized and up-to-date financial records and documentation.
  • Assist with financial audits, payroll audits, union audits, and other compliance reviews.
  • Support continuous improvement efforts related to accounting processes and internal controls.

Qualifications

Education & Experience

  • Bachelor's degree in Accounting and a minimum of 2 years of accounting experience; OR
  • Associate's degree in Accounting and a minimum of 5 years of relevant accounting experience; OR
  • 10+ years of progressive accounting experience in lieu of a degree.

Required Qualifications

  • Construction industry accounting experience or experience within a project-based business environment.
  • Working knowledge of accounts payable, payroll processing, account reconciliations, and financial reporting.
  • Experience processing multi-state payroll and managing payroll-related tax obligations.
  • Strong understanding of Generally Accepted Accounting Principles (GAAP).
  • Advanced proficiency with Microsoft Excel and other Microsoft Office applications.
  • Excellent attention to detail, organization, and problem-solving skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Strong interpersonal and communication skills with the ability to collaborate effectively across departments.
  • Demonstrated ability to work independently while contributing to a team-oriented environment.

Preferred Qualifications

  • Experience with Trimble Viewpoint/Vista ERP software.
  • Experience working with union payroll, fringe benefits, and related reporting requirements.
  • Construction accounting experience with general contractors or specialty contractors.
