The Office Administrator serves as the central point of coordination for office operations, providing administrative, facility, and organizational support across multiple departments. This role is responsible for maintaining an efficient and professional workplace environment while managing office resources, vendor relationships, employee events, and day-to-day administrative functions that support both office and manufacturing personnel.
Responsibilities
Oversee day to day functions, maintaining organization, managing vendors and ensuring positiveenvironment
Answering phone and emails, managing correspondence, scheduling and preparing documents(memos, reports, invoices)
Maintain office supply inventory and place orders when needed.
Manage office equipment.
Organizing and maintaining digital and physical files, databases and company records
Assist with onboarding new hires when requested, coordinate team events and find vendors to support our needs within the budget parameters. Supporting various departments as needed.
Processing invoices and handling basic bookkeeping
Sending daily schedules to the Manufacturing Manager and offering additional support as needed.
Ensure the lobby area and kitchenette are consistently clean, organized and guest-ready.
Perform other duties as assigned.
Required Knowledge, Skills & Abilities
Excellent communication and collaboration skills.
Self motivated. Good time management skills. Able to set own goals and determine how to accomplish these with minimal guidance.
Integrity & Confidentiality: Honest and ethical, able to handle sensitive information and keep in confidence.
Time management and prioritization skills
Customer service experience
Basic accounting or bookkeeping knowledge
Required Education & Experience
High school diploma or GED required.
1-3 years of administrative, office management, office coordinator, executive assistant, or related experience.
Experience supporting office operations, coordinating schedules and meetings, managing records, and interacting with vendors and customers.
Experience in handling confidential information and maintaining accurate documentation.
