Job Summary
We are seeking an energetic and highly organized Office Manager/Bookkeeper to join our company. This vital role combines office management with financial oversight, ensuring smooth daily operations and accurate bookkeeping. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, capable of managing multiple responsibilities efficiently.
Responsibilities
- Oversee daily office operations, including answering phones, emails and dispatching workers.
- Manage appointment scheduling, calendar coordination, and ensure efficient time management for staff and clients.
- Perform bookkeeping duties using QuickBooks or XERO accounting software, including invoicing, expense tracking, and bank reconciliations.
- Maintain organized filing systems for both physical documents and digital records.
- Provide exceptional customer service by addressing inquiries promptly via phone, email, or in person, ensuring positive interactions at all times.
- Support administrative tasks such as data entry, proofreading documents, managing correspondence, and handling clerical duties with accuracy.
- Assist with office management responsibilities like ordering supplies, maintaining equipment, and ensuring a clean and organized workspace.
Requirements
- Proven experience in office management or administrative roles with strong clerical skills.
- Proficiency in QuickBooks and XERO for bookkeeping tasks.
- Excellent computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications.
- Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
- Exceptional phone etiquette and experience handling multi-line phone systems; bilingual abilities are highly desirable( English, Spanish).
- Demonstrated ability to perform data entry accurately and maintain detailed filing systems.
