Overview:
This role supports the construction team by managing project documentation, coordinating communications, handling changes orders, and ensuring project stays up-to-date, organized, and on schedule. The role is key in keeping all administrative, contractual, and procedural aspects of the construction project efficient and successful.
Responsibilities:
- Maintain and organize project documentation, which includes contracts, drawings, specification, submittals, RFIs, RFPs, close-out documents, etc.
- Review and process change orders, ensuring approvals and proper documentation and organization
- Assist in budget tracking
- Coordinate with Project Manager to ensure timely submission of deliverables and adherence to project timelines.
- Prepare and distribute meeting agendas, minutes, and site reports
- Utilize construction software to organize project documentation, generate reports, track jobsite activity and personnel, and maintain proper record keeping.
- Assist in scheduling submittals and material deliveries, follow up on reviews and approvals
- Maintain accurate records of project progress, changes, and communications to facilitate effective project management.
- Collaborate with jobsite teams to ensure safety compliance and quality control standards.
- Support close-out procedures: punch lists, warranties, final inspections, turnover documents, etc.
Requirements:
- Proven experience in construction administration, project coordination, or a related field is preferred.
- Proficiency in Microsoft Office (Word, Excel, Outlook). Construction management software knowledge is preferred.
- Strong understanding of construction processes, schematics, system design, and project management principles.
- Excellent mathematical skills for accurate calculations related to construction projects.
- Ability to work collaboratively within a team environment while also being self-motivated.
- Strong organizational skills with high attention to detail to manage multiple tasks simultaneously.
- Effective communication skills for liaising with clients, subcontractors, and team members.
- Familiarity with permitting process is a plus
