About the Role
This is an onsite, entry-level Office Support Specialist position based in our Pittsburgh Hub. You will be an integral part of the day-to-day experience at the House Rx Hub, supporting the smooth operation of our office environment. You will be the go-to person for keeping our office running efficiently, from managing shipments and supplies to creating a welcoming and well-stocked workplace for our team. This role can support all areas of the office and leadership team so role responsibilities can look different on a day to day basis and can go beyond what is listed in this job description.
We're looking for an Office Support Specialist who thrives on variety and isn't afraid to roll up their sleeves. No two days look the same here, one morning you might be restocking supplies and coordinating a team lunch, the next you're helping onboard a new hire or troubleshooting why the printer is jammed again. Core Responsibilities
Shipping Mail
Manage inbound and outbound shipments and daily mail distribution
Coordinate with carriers and vendors to ensure timely deliveries
Track and log packages and maintain accurate shipping records
Assist with ordering and shipping supplies to our clinics
Office Supply Inventory Management
Monitor and restock office supplies, kitchen items, and shared spaces including coffee and breakroom essentials
Place and track supply orders, managing relationships with vendors
Maintain organized, well-stocked, and tidy common areas throughout the office
Office Coordination Events
Be the first point of contact for visitors, vendors, and anyone who walks through the door
Plan and execute office events, team celebrations, and company parties, with support from the People and Event Teams.
Assist in coordinating meetings, office logistics, and ad hoc operational needs
Assist in managing vendor relationships and fielding service requests (think: internet, cleaning, building management)
Field the random, because there's always something that needs handling and someone has to be great at it
Support the office leadership with various office projects and initiatives
About You
You are highly organized with strong attention to detail and the ability to juggle multiple tasks at once - Detail-oriented enough to catch things before they become problems
You take initiative and follow through, if you see something that needs to be done, you do it.
You are resourceful and self-directed, you figure things out without waiting to be told.
You have excellent communication skills and enjoy working with people across all levels of the organization
You are comfortable working independently and thrive in a fast-paced, startup environment
You are a natural multitasker who can switch from a spreadsheet to a supply run without missing a beat
You are friendly, professional, and calm under pressure
You are comfortable with ambiguity and energized (not stressed) by a fast-moving environment
Prior experience in an office, administrative, or coordination role is a plus but not required
Salary Range: $22 - $25/hr
This range represents the low and high end of the anticipated base salary/wage. The actual base salary/wage will depend on several factors, including experience, knowledge, and skills. Actual compensation packages may include other elements such as equity, paid time off, and benefits.
