Responsibilities

  • Manage front desk duties, including greeting visitors and handling multi-line phone systems with professionalism and courtesy
  • Perform data entry and maintain accurate records using software such as QuickBooks, Microsoft Office, and Google Workspace
  • Assist with bookkeeping tasks, including invoicing, expense tracking, and reconciling accounts
  • Support office management activities such as filing, organizing documents, and maintaining supplies
  • Provide exceptional customer service by responding promptly to inquiries via phone or email and supporting client needs
  • Schedule appointments, manage calendars, and coordinate meetings for team members or executives
  • Proofread documents for accuracy and clarity while ensuring all communications adhere to professional standards

Requirements

  • Proven experience in office administration, clerical work, or related roles with strong organizational skills
  • Proficiency in QuickBooks, Microsoft Office (Word, Excel), Google Workspace, and general computer literacy
  • Excellent typing speed and data entry skills with attention to detail
  • Bilingual abilities are highly desirable to assist diverse client needs
  • Experience with front desk operations, multi-line phone systems, and phone etiquette
  • Strong time management skills with the ability to prioritize tasks effectively
  • Personal assistant or office management experience is a plus but not required
  • Ability to handle confidential information discreetly while demonstrating professionalism at all times
