We are seeking an experienced Front Desk Manager / Supervisor who thrives in a fast-paced medical environment and can lead both operational performance and patient experience. This role requires a strong understanding of insurance-based healthcare, cash-pay wellness services, patient conversion, team leadership, and compliance-driven medical operations.
Position Overview
The Front Desk Manager / Practice Supervisor will oversee the daily operations of the front office team while serving as a key liaison between patients, providers, billing, and administration.
This individual will be responsible for:
- Managing front office staff performance
- Driving patient conversion and revenue growth
- Maintaining compliance and documentation standards
- Supporting scheduling and patient flow across multiple service lines
- Ensuring exceptional patient experience from first contact through follow-up
The ideal candidate understands both traditional medical practices and high-touch cash-pay wellness environments.
Key ResponsibilitiesLeadership & Team Management
- Supervise and mentor front desk and patient coordination staff
- Conduct staff training and performance evaluations
- Develop workflows that improve efficiency and patient satisfaction
- Monitor daily productivity and accountability metrics
- Assist with hiring, onboarding, and staff development
Patient Experience & Sales
- Convert inquiries into consultations and treatment plans
- Educate patients on available services and programs
- Present treatment options, memberships, and package pricing
- Follow up with leads and inactive patients
- Support achievement of monthly revenue and conversion goals
Insurance & Revenue Cycle
- Verify benefits and eligibility
- Understand PPO, Medicare, workers' compensation, and commercial insurance plans
- Coordinate authorizations and referrals when required
- Work closely with billing teams to reduce denials and improve collections
- Monitor front-end revenue cycle performance
Surgical & Wound Care Operations
- Coordinate patient scheduling and treatment flow
- Ensure compliance with required documentation standards
- Track wound care and surgical center quality metrics
- Support accreditation and regulatory requirements
- Assist providers with operational efficiency initiatives
Administrative Oversight
- Maintain patient records and practice management systems
- Oversee scheduling optimization
- Monitor patient retention and reactivation efforts
- Generate reports for leadership review
- Manage office communications and workflow coordination
QualificationsRequired
- 3+ years of medical office management, practice management, or supervisory experience
- Experience working with both insurance-based and cash-pay medical services
- Strong sales and patient conversion skills
- Knowledge of insurance verification and authorizations
- Experience managing front desk teams
- Excellent communication and leadership abilities
- Strong organizational and multitasking skills
Preferred
- Experience in plastic surgery, wound care, hyperbarics, aesthetics, wellness, or concierge medicine
- Familiarity with EMR/EHR systems
- Experience managing KPI dashboards and staff performance metrics
- Understanding of regulatory and compliance requirements in healthcare settings
