Bookkeeper / Administrative Assistant – Multi-Unit Retail & Restaurant OperationsJob Summary

We are seeking a highly organized, detail-oriented Bookkeeper / Administrative Assistant to support the accounting, administrative, and operational needs of our growing convenience store and restaurant organization. This position plays an important role in ensuring our back-office functions run efficiently while supporting multiple retail and restaurant locations.

The ideal candidate is proactive, dependable, and enjoys working in a fast-paced environment. This role combines bookkeeping, administrative support, and operations coordination, working closely with our accounting department, operations managers, district managers, and executive leadership.

ResponsibilitiesAccounting & Bookkeeping

  • Maintain accurate financial records using QuickBooks or similar accounting software.
  • Process invoices, accounts payable, accounts receivable, receipts, expense reports, and journal entries.
  • Perform bank and credit card reconciliations.
  • Assist with payroll processing and employee record maintenance.
  • Prepare financial reports and assist with month-end closing activities.
  • Maintain organized accounting files and supporting documentation.

Administrative Support

  • Manage calendars, meetings, travel arrangements, and scheduling.
  • Prepare correspondence, reports, spreadsheets, and presentations.
  • Organize electronic and physical filing systems.
  • Answer phones and emails professionally while providing excellent customer service.
  • Order office supplies and assist with general office management.
  • Proofread documents for accuracy and professionalism.

Operations Support

  • Provide back-office support for multiple convenience store and restaurant locations.
  • Assist operations managers and district managers with administrative tasks and follow-up on operational initiatives.
  • Prepare operational reports, dashboards, and spreadsheets using Excel.
  • Track maintenance requests, repair status, vendor work orders, and service schedules.
  • Coordinate vendor communications and maintain vendor files.
  • Monitor licenses, permits, contracts, and compliance documentation.
  • Assist with inventory reporting, fuel and retail reporting, restaurant operational reports, and data entry.
  • Help organize new store openings, remodels, and special company projects.
  • Coordinate communication between accounting, operations, human resources, vendors, and store management.
  • Assist executive leadership with special projects and operational initiatives as assigned.

Qualifications

  • Previous bookkeeping or accounting experience required.
  • Experience using QuickBooks or similar accounting software.
  • Advanced proficiency in Microsoft Excel, Word, Outlook, and the Microsoft Office Suite.
  • Experience with Google Workspace is a plus.
  • Excellent organizational and time-management skills.
  • Strong attention to detail and accuracy.
  • Ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills.
  • Professional phone etiquette and customer service skills.
  • Experience supporting multi-location retail, convenience store, restaurant, hospitality, or franchise operations is highly preferred.
  • Experience with POS systems, inventory reporting, payroll systems, or ERP software is a plus.
  • Bilingual (English/Spanish) is a plus but not required.
