Medical Office Supervisor – Pain Management Practice

Full-Time | Monday–Friday | No Nights | No Weekends | No Call

Position Summary

The Medical Office Supervisor is responsible for overseeing the day-to-day operations of the practice, ensuring efficient workflows, regulatory compliance, financial oversight, and an exceptional patient experience. This individual will work closely with providers and staff to maintain a collaborative, high-performing work environment.

Responsibilities

  • Oversee the daily operations of the medical office, including staffing, scheduling, and workflow management
  • Supervise and support administrative and clinical support staff, providing coaching, training, and performance management
  • Foster a positive, team-oriented workplace culture focused on exceptional patient care
  • Ensure compliance with HIPAA, OSHA, state and federal regulations, and practice policies
  • Monitor office productivity and implement strategies to improve operational efficiency
  • Coordinate with providers to optimize patient flow and clinic operations
  • Work with Administrator to develop and implement office policies and procedures to improve efficiency and consistency
  • Monitor inventory, vendor relationships, and office resources
  • Resolve patient concerns professionally while promoting a high level of patient satisfaction
  • Lead quality improvement initiatives and support practice growth

Qualifications

Required

  • Minimum of two years of leadership or supervisory experience in a medical office setting
  • Proven experience managing daily medical practice operations
  • Strong knowledge of healthcare regulations, compliance, and office administration
  • Experience leading and developing a team
  • Excellent organizational, problem-solving, and time management skills
  • Strong leadership abilities with a collaborative management style
  • Excellent verbal and written communication skills
  • Proficiency with electronic medical records (EMR) and Microsoft Office applications

Preferred

  • Experience in pain management or another medical specialty practice
  • Experience with eClinicalWorks (eCW)
