Role Description The Office Administrator / Manager at twenty-one wine & spirits is a full-time, on-site role based in Miami, FL. This role oversees daily office operations, including managing correspondence, organizing files and records, maintaining office supplies and equipment, and coordinating schedules and appointments. The person in this position will handle customer inquiries, support sales and inventory processes, assist with vendor communications, and ensure smooth collaboration between the office and store teams. They will prepare basic reports, track invoices and receipts, and uphold company policies and procedures. The role also involves identifying opportunities to improve administrative workflows and supporting management in day-to-day decision-making.

Qualifications

  • Strong Office Administration and Administrative Assistance skills to manage daily operations, documentation, and scheduling.
  • Proficiency with Office Equipment and related tools, including printers, phones, and basic computer applications (e.g., email, spreadsheets).
  • Effective Communication skills, with the ability to interact clearly and professionally with team members, vendors, and customers.
  • Customer Service experience, demonstrating a friendly, solution-oriented approach in a retail or hospitality environment.
  • Attention to detail, organizational skills, and the ability to prioritize tasks in a fast-paced setting.
  • Basic understanding of inventory or retail operations; experience in wine, spirits, or hospitality is a plus.
  • Ability to work on-site in Miami, FL, with consistent reliability and punctuality.
  • High school diploma or equivalent; further education or certifications in business, administration, or related fields are advantageous.

Responsibilities

  • Coordinate office activities and operations to secure efficiency and compliance to company policies
  • Manage phone calls and correspondence (e-mail, letters, packages etc.)
  • Support budgeting and bookkeeping procedures
  • Create and update records and databases with personnel, financial and other data
  • Track stocks of office supplies and place orders when necessary
  • Submit timely reports and prepare presentations/proposals as assigned
  • Assist colleagues whenever necessary

  • Proven experience as an office administrator, office manager or relevant role
  • Ability to prioritize and multitask
  • Outstanding communication and interpersonal abilities
  • Must be bilingual
  • Must be proficient in Quickbooks
  • Excellent organizational and Time management skills
  • Excellent written and verbal communication skills
  • Strong attention to detail
  • Familiarity with office management procedures and basic accounting principles
  • Excellent knowledge of MS Office
  • Qualifications in secretarial studies will be an advantage
  • High school diploma; BSc/BA in office administration or relevant field is preferred
