Job Summary
This Administrative Assistant to the Vice Chancellor for Global Affairs provides administrative and operational support to the Vice Chancellor for Global Affairs (VCGA) and the Office of Global Affairs. Reporting to the Vice Chancellor for Global Affairs, this role supports daily administrative operations.
This position will establish and maintain effective working relationships across campus units, international partners, and external organizations. This position requires effective coordination abilities, attention to detail, and the ability to balance multiple priorities in a fast-paced, globally connected environment.

Responsibilities
What Your Key Responsibilities Will Be
Executive & Office Administrative Support
- Manage calendar scheduling, meeting logistics, and coordination for the Vice Chancellor and Office of Global Affairs leadership.
- Coordinate meeting invitations, Zoom/Teams setup, room reservations, and event logistics.
- Gather, organize, and distribute meeting materials; track timelines to ensure timely preparation.
- Serve as a point of contact for the Office of Global Affairs, responding to inquiries and routing communications appropriately.
- Support travel coordination, expense reporting, and general office operations.
- Assist with procurement, requisitions, and office supply management.
- Support special projects, events, and initiatives led by the Vice Chancellor.
Logistic Management & Global Partnerships Support
- Maintain and organize records for all MOUs across the Office of Global Affairs portfolio, including filing, tracking, and documentation.
- Log, monitor, and maintain an accurate database of active MOUs.
- Track MOU lifecycles, including initiation dates, renewal timelines, and expiration dates.
- Proactively identify expiring MOUs and support outreach efforts by notifying relevant partners and coordinating follow-up communications.
- Support communication with internal partners and external/global collaborators regarding MOU renewals and updates.
- Contribute to process improvements to ensure accuracy, consistency, and accessibility of MOU records.
Collaboration & Operational Support
- Collaborate with campus partners, academic units, and administrative offices to ensure alignment on global agreements and outreach.
- Support coordination with communications, IT/web teams, and data owners to maintain integrated systems and resources.
- Assist with events, outreach initiatives, and engagement efforts tied to global partnerships.
- Maintain confidentiality and handle sensitive information with discretion.
- Promote a collaborative, customer-focused office culture.
General Responsibilities
- Adhere to all University of Colorado and CU Boulder policies.
- Contribute to continuous improvement of administrative processes and systems.

- This position offers a hybrid work modality with both on-site and remote work hours based on business needs.
What We Can Offer
The hiring range for this position is $70,000-$85,000. Relocation is available for eligible candidates.

What We Require
- Bachelor’s degree from an accredited institution and 3+ years of professional administrative or operational experience
