San Francisco Food Supply specializes in distributing ice cream ingredients and cafe supplies to ice cream and retail stores that manufacture and serve ice cream and other frozen desserts. We are the #1 ice cream ingredient distributor on the West Coast, making regular deliveries throughout Northern and Central California. In addition, we ship to many places around the world. We are looking for an Office Manager and Bookkeeper to join our growing team.
Position Description
We are seeking an Office Manager and Bookkeeper who will make a difference each day by supporting our staff and ensuring that we keep track of invoices, payments and information needed to make our customers and community happy. The ideal person needs to be detail oriented, focused, and have a strong commitment to getting the job done right and thoroughly. It will be important to communicate well with the wholesale customers, vendors, warehouse teams, drivers, and owners.
Essential Job Duties:
Here are a handful of the things you would do in this role:
- Answer calls and emails from customers/vendors
- Manage filing systems (digital & physical)
- Record daily transactions (bills, invoicing, expenses, payments)
- Manage accounts payable & accounts receivable and handle collections calls
- Daily use of QuickBooks Desktop
- Key communicator between office and warehouse teams to support day to day operations
- Proficiency in spreadsheets (Excel / Google Sheets)
- Excellent communication skills
- Ability to context switch in a small fast paced office setting
- Ensure compliance with food distribution regulations and maintain required documentation
- Track permits, licenses, and renewal deadlines
- Maintain vehicle maintenance, DMV and DOT records
- Track and record sales tax and assist with filings
- Handle credit card processing, check deposits, petty cash
- Help prepare reports for accountants and for tax filings
- Ability to work for a growing company with changing processes
- Strong organization and attention to detail
- Work closely with ownership daily

Education or Experience:
- Associate's degree in accounting preferred or at least 3 years of accounting/bookkeeping experience
- Must be highly proficient in Microsoft Office products such as Word, Excel, and Outlook

Full-time, Mon-Friday 730am-4pm
