We are hiring a Retail Operations Office Manager to integrate bookkeeping, POS and inventory database management, and operational coordination into one cohesive, high‑impact function. This role is essential to keeping our store running smoothly, accurately, and efficiently. You will support the Owner, Store Manager, and Director of Operations while maintaining the systems, workflows, and documentation that power our business.
Key Responsibilities
Bookkeeping & Accounting
- Reconcile and record daily sales and COGS between POS and QBO/Xero
- Record, code, and verify invoices and maintain accurate receiving documentation
- Maintain GL accounts for accuracy including bank reconciliations
- File state and city sale tax returns and maintain documentation with vendors
- Process employee wages, taxes, and deductions accurately; strong understanding of Colorado wage requirements
POS & Inventory Operations
- Maintain metadata (UPC/SKUs, Taxonomy, variants, pricing, units, etc.) for POS and Shopify accurately
- Update and maintain vendor contact information - sales, A/P, warranty, and dealer services
- Support Inventory Management with accurate costs, pricing, and cycle/year-end counts
- Track and maintain company assets, including rental equipment, by tracking acquisitions, disposals, depreciation, and supporting documentation
- Coordinate vendor returns, credits, and warranty processes
- Monitor receiving workflows and resolve discrepancies
Operational Administration
- Enhance and manage Inventory movement workflow
- Improve staff and companywide scheduling and internal communication
- Maintain SOPs, project & tasks lists, and operational documentation
- Assist with HR onboarding tasks (paperwork, accounts, training materials, schedule)
- Assist performance management workflow and schedule including e-training, PODS, clinics, and onsite
- Ensure compliance with insurance requirements for ski shop, rental program, events, workers comp,
- Assist with rental management system to ensure proper documentation, products, and pricing
Job Requirements and Qualifications
- 2+ years of outdoor retail bookkeeping, inventory data management, and operations experience
- Experience with POS and accounting workflows; previous experience with Shopify a plus
- Strong understanding of vendor workflows:
- Preseason and ASAP order processing
- Invoice coding, matching, and verification
- Product updates - pricing, discontinued, style updates
- MAPP compliance
- Proficiency with QBO or Xero including AP tools like Bill.com and Ramp;
- Strong bookkeeping and accounting skills including analysis for retail business including strong organizational and documentation habits
- Intermediate computer skills and proficient with Microsoft Office 365 and Apple programs
- Basic project management skills
