Position: Human Resources Admin Assistant
Department: HR
Reports to: Human Resource Manager
Starting Rate: TBD
Date Position Available: 06/27/2026
Administrative Responsibilities:
- Maintains employees' files in HRIS systems and physical files
- maintain current and accuracy for new hires, terminations, employee changes & personal information, LOAs, benefits and other as required.
- Ensures federal and state compliance in personnel files, I-9 binders, medical files Workers’ compensation files and other confidential employee information.
- Maintain monthly filing of employment applications, interview results and EEO Data for applicant tracking and reporting.
- Prepare and process PAFs for all employee transactions.
- Prepares Human Resource reports for unit management and Corporate.
- Assist with reconcile monthly benefit invoices to payroll and employee records and correct all discrepancies.
- Administer employee recognition programs, company bulletin boards and newsletter.
- Assist with processing all benefits enrollment, terminations, changes and corrections to FFG payroll, providers and within HR ADP
- Assist explaining and interpret company insurance programs to employees and dependents.
- Assist with administer and enforce HR policy and procedures and corporate policies and procedures.
- Ensure compliance with all applicable federal, state, and local laws.
- Administer employee uniform program, employee parking & employee badge systems.
Strategic Responsibilities:
- Conduct employee orientation training.
- Manage employee rewards and recognition programs to ensure they are effective with employees and meet company objectives.
- Provide support to execute the company's strategic HR initiatives.
Other Responsibilities and duties will include, but not be limited to:
- Knowledge of internal policies and procedures.
- General knowledge of HR law and practice, employee orientation.
- Competent to work independently within area of expertise.
- Take responsibility for a small subset of an HR project and works independently with periodic feedback.
- Know and follow all safety requirements; strive to maintain a safe work environment.
- Effectively give and receive feedback; willingly ask questions and seek direction, as needed.
- Must be able to function within a team environment.
- Perform detail-oriented tasks utilizing effective language and basic math skills.
- Perform tasks under general supervision.
Qualifications:
- Minimum of a AA/AS. degree of HR/Admin or an equivalent combination of education and experience.
- Knowledge of California state laws and regulations
- Manufacturing experience a plus
- A minimum of 1-2 years broad-based human resource experience.
- Candidate bilingual is a plus.
- Knowledge of HRIS systems, particularly ADP and Paycom
- Excellent written and verbal communication skills.
- Proficient with Microsoft Office suite, computer knowledge, email and excel.
